Reducing Labor Costs for City of Johns Creek with Intelligent Document Processing and WorkDocs

A shining star of Georgia cities, The City of Johns Creek, was incorporated in 2006 and has since become one of the most recognized cities in the United States – regularly receiving national recognition for its school system’s academic excellence, safety ratings, and parks system.

Due to the city’s reputation, city employers are routinely asked for media files to share with news agencies and information services. Their previous process for managing these constant requests was time-consuming and labor-intensive.  The files were spread across network drives, computers, and disparate
repositories – making it difficult to quickly respond to media requests.  As many of the requests were for images of specific officials on specific dates, Johns Creek staff would have to manually tag images as they were received, which could introduce human error and mis-categorization.

The city project manager knew Johns Creek needed a new system that could reduce the time employees spent fielding media requests and improve operational efficiency, and sought a solution with TekStream and AWS.

Key Pain Points

The process of visually checking media files to determine location and officials in the files was labor intensive and prone to error.

Elected and appointed officials change periodically, and media files for each official were difficult to track.

There was no approval process for media-ready files to control what was shared with agencies.

After reviewing John Creek’s specific needs, TekStream designed a solution to enable Johns Creek staff to quickly upload, categorize, and manage media files and associated documentation while providing an easy, intuitive method for finding files based on who was in the files and by location.

TekStream crafted a new system using AWS WorkDocs as a central repository and content manager for all Johns Creek’s media and associated files. TekStream combined WorkDocs with a subset of AWS Intelligent Document Processing (IDP) which relies on artificial intelligence and machine learning to automatically process new files uploaded to the repository. AWS Rekognition was installed to identify and tag key officials and city employees in the media files through facial recognition. Files were also automatically tagged with relevant dates, GPS coordinates, and other identifying information.

Through the combined power of AWS WorkDocs, IDP, and Rekognition, facilitated with TekStream’s implementation, the city of Johns Creek can now
batch load content into a centralized repository and have those files automatically recognized and tagged. This new system supports complex
searches for media files to quickly field external agency requests – saving the city $10s of thousands in reduced labor costs.
